School Fee Arrears Calculator

A single outstanding balance is hard to read. This calculator turns it into months of arrears and a realistic catch-up number, so a hard conversation starts from facts instead of feelings.

    An outstanding balance of R12,000 means different things for a school charging R1,000 a month and one charging R6,000. Turning arrears into months is what makes the size of the problem clear, and it is the first step to an arrangement that actually gets paid.

    Months in arrears is outstanding divided by the monthly fee. The catch-up assumes the family also keeps up with current payments while clearing the backlog, which is why the extra monthly amount is on top of the normal fee.

    How to use it

    • Before the meeting: run the numbers for each family on your arrears list so every conversation starts from the same math.
    • Set the arrangement: the catch-up amount tells you what is realistic. Three months is a fair default; a shorter window usually fails.
    • Agree on paper: document the months, the amount and the payment date, and check in at each instalment. Unwritten arrangements get forgotten.

    How it works

    Months in arrears divides the outstanding balance by the monthly fee. The catch-up splits the balance across the months you choose, and the extra monthly amount is that share added to the normal monthly fee, showing the family the full monthly commitment until the arrears clear.

    When an arrangement is not enough

    If a family's arrears are more than three or four months, a payment plan is rarely the fix on its own. Combine it with a clear policy on discounts, late payments and escalation, and be honest with yourself about whether the school should have been following up earlier.
