School Fee Collection Policy Template

A ready-to-edit Word document that sets out how your school sets, invoices, collects and follows up on school fees. Replace the placeholders and it is ready for council review.

On this page

A written fee policy does two jobs. It tells parents exactly how fee collection works before they sign up, and it gives the bursar a defensible process to follow when an account goes overdue. This template gives you the full structure, in plain language.

    What is inside

    • Purpose and scope - why the policy exists and who it applies to.
    • Fee setting and communication - how fees are set, approved and announced.
    • Payment options - full payment, instalments and preferred payment methods.
    • Due dates and late payment - reminders, interest and escalation steps.
    • Arrears and hardship - how you handle genuinely difficult situations.
    • Privacy and review - data handling and annual review.

    How to use it

Open the file in Word, replace every field in square brackets with your school's detail, and adjust the numbers to what your school actually does. Late-interest figures in South African school policies are commonly set around 2% to 3% per month, but use the rate your school's board has agreed and check that it is enforceable in your province.

    Make it stick

    • Get it signed off by council so you can rely on it when a payment is challenged.
    • Publish it to parents at enrolment and again with each year's fee communication, so nobody can claim surprise.
    • Follow it consistently. A policy you only sometimes enforce is weaker than no policy at all.

A policy sets the rules, but the daily habit is what collects the money. The Weekly School Fee Collection Checklist turns this policy into a routine that runs on autopilot.
