Instalment Payment Plan Template

A spreadsheet that builds a complete instalment schedule from a fee, a start date and a number of payments. Type in the three numbers and every due date and amount is calculated.

On this page

A payment plan is only as good as the schedule behind it. This template turns a fee and a start date into a clear instalment table you can share with a family and keep in their account file, so both sides always know what is due and when.

    What is inside

    • Inputs: annual fee, number of instalments and the first payment date.
    • Instalment table: every payment with its due date, amount and a paid column.
    • Automatic totals: the instalment amount and the total across the plan calculate themselves.

    How to use it

Open the file, enter the fee, choose how many instalments your school allows (usually 10 or 12 over the school year), and set the first payment date. Save one copy per family and use the paid column as the family's running record.

    Better plans, fewer problems

    • Keep the schedule realistic. A plan a family cannot afford just moves the problem a month down the road.
    • Set the due date before the month-end close, not after, so payments land inside the month they belong to.
    • Send the schedule with the plan, in writing. Surprise is the biggest driver of late instalments.

If you would rather let parents build their own plan from your fee options, the School Fee Split Calculator shows how the annual fee breaks into monthly or termly amounts. And for how to design plans families actually keep, read How to Create Better School Fee Payment Plans.
